The plan

How the morning runs.

The event has no schedule. Stations, games, food trucks, and the photo area all run from 9 to 12, come and go. The four blocks below are our own way to pace the coverage, so move them as the crowd moves.

Saturday, Oct 31

Proposed pacing. Tap Mark done when a block is covered.

What we know from the call.

    • 8:00 AM. Kevin and Mario agreed the crew arrives at 8 to set up and shoot the setup.
    • About 8:15 AM. The DJ arrives and starts setting up. Nothing before 8.
    • 9:00 AM to noon. Everything runs at once, come and go. No fixed times.
    • Turnout. About 270 people marked interested on social. It is Halloween morning and the first United Way Day, so turnout is unknown.
    • Mario stays with us. He will be around the crew all morning and will point out when people gather at the photo area.
    • Weather. The event moved from Oct 3 to Oct 31 because of weather. Check the forecast tonight.

    Who runs what

    Crew and kit.

Roles come from Kevin. Tick gear as it is packed, and add anything missing.

    Where we shoot

    The square, by zone.

Redrawn from Mario's Canva map, sent Oct 29. Arrows are vehicle flow at the two parking areas. The two big tents and the small United Way tent are the most likely spot for the volunteer stations, though the map doesn't label which station sits where.

Redrawn from Mario's Canva map (Oct 29). Not to exact scale — use it for which zone sits where, not precise distances. Scrolls sideways on a phone so the labels stay readable.

Open 213 W Texas Ave in Maps ↗ Address from the City of Baytown site. Confirm with Mario that the event sits at this address.

    The shot list

    Every shot, by zone.

Yellow marks the must haves. "From the call" shots were named by Kevin or Mario on Oct 29. "Proposed" shots are our additions for Kevin to keep or drop. Assign a lead on any shot.

    Add a shot.

Saw something worth getting? Add it and it joins the list for the whole crew.

    On camera

    Interviews and name cards.

Two ways to interview. Attendees get short, man on the street questions. Staff and Kaci get a more planned frame.

Slate every interview. Before the first question, ask each person to say and spell their name and say who they are. It gives clean spelling in the edit.
    Attendees, from the call

    Why are you here today?

Easy opener. Man on the street style. Tyler's rig can double as a talking head rig, and Kevin's gimbal or handheld can be a second one.

    Proposed, on brand

What does "Live United" mean to you?

Uses United Way's own tagline, not a generic prompt. Short sound bites for social.

    Proposed, on brand

United Way's marking 80 years in Baytown this year. What's one way your community has shown up for you?

Ties the soundbite to the 80th anniversary campaign running right now.

    Attendees, from the call

What does United Way mean to you?

Mario's original prompt, kept as a fallback if someone doesn't bite on the brand-specific ones.

    Add a name card.

Anyone new you film. Cards are shared with the crew.

    Crew notes

    One thread for the day.

A change of plan, a person to find, a line to remember. Everyone on the crew sees it.

    Easy share

    Send this to the crew.

Copy the link for Tyler and Ava. Each person adds a name first. This page is for the crew only.
